Project Summary

The USAID-funded Zambia Community HIV Prevention Project (Z-CHPP) supports the Government of Zambia to reduce new HIV infections through increased adoption of high impact HIV services and protective behaviors among at-risk populations, using evidence-based and locally owned solutions and in close partnership with a range of local Zambian organizations and institutions.

Position Summary:

The Finance Assistant will be responsible for preparing payment vouchers, review authorization and request forms, ensure all advance liquidation is done within the stipulated timeframe, ensure timely submission of time sheets by all staff, scanning monthly financial documents, review petty cash reconciliation register ensure fixed asset register is updated and reconciled with the serenic accounting software and conduct inventory count of assets and verification of their status and condition.

Specific Duties and Responsibility:

  • Prepare payment vouchers, making sure that supporting documents such as Payment Requisitions, Invoices, Delivery Notes are complete and attached and indicating the Account, Fund and Sub-Project Codes
  • Review Travel advance authorization and Request Forms to ensure accuracy of the amounts requested as per Pact Zambia Travel policy.
  • Ensure that all travel advances are liquidated within the stipulated timeframe and any change is banked timely as per Pact Policy
  • Ensure proper and timely filing of all Accounting documents such as Payment vouchers, Liquidations and Receipt vouchers.
  • Ensuring timely submission of Timesheets by all staff.
  • Scanning all Monthly Financial documents such as Payment vouchers, Liquidations, Receipt vouchers and Journal Vouchers.
  • Reporting and following up on any missing documents
  • Review the Petty Cash Reconciliation Register and the supporting vouchers and receipts for eventual petty cash reimbursement.
  • Ensure the Fixed Asset Register is updated and reconciled with the Asset Register in Serenic accounting software
  • Conduct inventory count quarterly to ensure existence of assets and verification of their status and condition.
  • Any other duties assigned

Basic Requirements

  • Diploma or Equivalent in Finance, Accounting, Business Administration or related field.
  • At least 2 years relevant work experience in finance, accounting, operations
  • Knowledge of USAID and other funders’ rules and regulations related to Accounting and Finance
  • Sound knowledge of Generally Accepted Accounting Practices (GAAP).
  • Strong written and verbal English communication skills.
  • Proficient in Microsoft Office, including Excel, Word, PowerPoint and complex accounting software systems
