Depot Clerk | Syngenta | Choma | Full-Time


ROLE PURPOSE

Responsible for inventory level and all warehouse activities (physical and system wise) within the depot, cash and cheques deposit, ensuring high customer service level, proper communication to key internal and external stakeholders, and adherence to HSE and compliance rules.

ACCOUNTABILITIES

Stock replenishment

The Depot Clerk must ensure adequate replenishment while reaching inventory targets

  • Review demand plan with Sales team and decide on replenishment needs
  • Process stock replenishment via goods transfer (IBT) and coordinate with Operations Officer
  • Check received goods conformity with IBT (product, quantity and good shape), unload and stack goods
  • Record stock movements timely and accurately in iScala and maintain BIN cards accordingly



Order processing

The Depot Clerk must ensure that customer orders are processed in a professional, timely and error free way, with a customer-service mindset through:

  • Interface physically, by phone and/or email with the sales team and customers for orders, backorders, enquiries (for prices, stocks, delivery dates, customer master data…).
  • In case of blocked accounts or price changes requests or other master data issues, lead timely completion of internal requests processes
  • Ensure orders are correctly and timely entered, processed, invoiced and closed in iScala,
  • Coordinate delivery or pick up operations and ensure that all transactional documents are signed and filed
  • Ensure that Open Orders are fulfilled (or deleted) as soon as possible, keeping all stakeholders well informed at all times
  • Process goods returns and issue credit notes

Cash management

The Depot Clerk is responsible for receiving, depositing and registering all payments coming through the depot. He must ensure that payments are kept safe

  • Hands over cash/cheques to 3rd party for deposit, issue daily cash sales report, ensures all supporting documents are scanned and saved on the ShareDrive

Inventory management

The Depot Clerk is entrusted with the inventory held within his depot. He must ensure that the inventory is kept in excellent condition and not stolen, lost or damaged by:

  • Ensure that inventory is well secured at all times within the depot, and maintain control over physical access
  • Ensure that the storage area is kept clean, 100% pest free and dry – immediately fix and report any issues with storage area
  • Carry out monthly inventory reconciliation (physical and system)
  • Report and explain variances to stock levels and damages and supply documentary backup for the same
  • Inform the Central Inventory Controller on issues and exceptions

Workplace management

The Depot Clerk is responsible for the overall good conditions and safety of the depot

  • Represent Syngenta’s interest at the warehouse (keep the place tidy, clean, safe and secure)
  • Ensure adherence to HSE regulations and legal requirements

Qualifications

KNOWLEDGE, SKILLS & EXPERIENCE

Critical Knowledge:

  • Relevant diploma in Accounting, Supply or Business
  • Full Grade 12 certificate
  • Prior Knowledge or experience of an ERP system would be an advantage

Critical Skills:

  • IT skills especially of Microsoft MS Office Programs
  • Can work well in autonomy and under pressure
  • Customer service orientation
  • Communication skills

Critical Experience:

  • Work experience of 1-2 years
  • Experience in Agro industry a bonus
